This SMS Privacy Policy explains how Thought Wise Counseling & Neuropsychology (“Thought Wise,” “we,” “our,” or “us”) collects, uses, protects, and shares personal information from individuals who opt in to receive text (SMS) messages from us. This policy applies to our text message communications related to appointments, reminders, service updates, billing notifications, and other practice-related notices.
This policy covers SMS only. For general website terms and privacy practices, please refer to our main Terms & Conditions and Privacy Policy on our website at thoughtwise.com.
When you consent to receive SMS messages from Thought Wise, you may receive messages such as:
• Appointment reminders and confirmations
• Scheduling updates (reschedules, cancellations, waitlist openings)
• Intake or paperwork reminders
• Billing or account notices
• Practice announcements or service availability updates
Message frequency will vary based on your activity with our practice. Standard message and data rates may apply.
We do not send marketing/promotional texts without your consent.
When you opt to receive SMS messages from us, we may collect:
• Your name
• Your mobile phone number
• Your email address
• Appointment / scheduling details
• Basic account/billing status notices (e.g. “a balance is due”)
If you contact us by text, we may also collect any information you include in your message to us.
We may also collect limited technical information automatically (such as timestamp of message delivery, whether messages were successfully delivered, and reply to status like STOP/HELP) to maintain the service.
We collect information in the following ways:
• You provide it directly to us (for example, when you give us your cell number and ask to receive appointment reminders by text, or when you text us first).
• Your complete intake, consent, or scheduling forms (online or in-office) and indicate you agree to receive text messages.
• Our systems record basic delivery and engagement data for compliance and support.
We use the information we collect to:
• Send you appointment reminders, confirmations, and schedule changes
• Send you required paperwork links or intake forms
• Notify you of billing or administrative issues related to your account
• Respond to questions you send us by text
• Maintain accurate communication records for compliance and service quality
We do not sell or share your mobile number or SMS consent status with third parties for their own marketing or promotional purposes. TeleVoIPs guidance requires this disclosure to be explicit.
We store your mobile number and related communication logs in systems we use to manage scheduling, communication, and billing. We take reasonable administrative, technical, and physical safeguards to protect this information from unauthorized access, use, or disclosure.
Only authorized staff and approved service providers who need access to support scheduling, reminders, or account notifications will have access to this data.
We may share limited information with:
• Our HIPAA-aligned communication and phone/SMS providers, for the sole purpose of delivering messages on our behalf
• Practice management / scheduling tools we use to coordinate your care and appointments
• Billing support tools for account notices
We do not share SMS opt-in data, opt-out data, or your mobile number with unaffiliated third parties for marketing or promotional use.
If required by law, regulation, audit, or legal process, we may disclose information as needed.
Opt-Out / STOP
You can opt out of SMS messages at any time by replying STOP to any text we send. After you send STOP, you will no longer receive SMS messages from us at that number (except messages required by law, if any). TeleVoIPs states this STOP mechanism is mandatory for compliance and we must immediately stop messaging that number once STOP is received.
HELP / Support
For help, reply HELP to any of our messages or contact us using the information in Section 10 below. TeleVoIPs recommends including a HELP contact path in SMS programs.
Update Your Info
If you believe the phone number, we have on file for you is incorrect, or you want to update your contact preferences, please contact us (Section 10). You may also request that we correct or delete certain personal information we maintain about you, subject to legal/clinical retention requirements.
Our website (thoughtwise.com) may use cookies, pixels, web beacons, or similar technologies to understand how visitors use the site and to keep certain features working (for example, keeping forms populated). Some of these technical data (like IP addresses, browser type, and general location) may be collected automatically when you interact with our website or emails. TeleVoIPs notes this disclosure is expected in modern privacy policies.
You can disable cookies in your browser settings, but certain site features may not work correctly without them.
Message and data rates may apply to any SMS messages we send you or that you send us. Message frequency may vary.
Carriers and SMS providers can block or filter messages that don’t meet current 10DLC registration and content standards. Carriers now require businesses to maintain both SMS Terms & Conditions and an SMS Privacy Policy and may suspend messaging programs for non-compliance.
